How do I create a report using the advanced filters?
The advanced filter tool is a versatile way of creating reports. Within this article I’ll guide you through the three types of filters you can use to produce reports within an organization account, each with easy step-by-step instructions. These include:
- A Single Filter – focusing on individuals or organizations related to the single add-on, memberships for example.
- A Cross Filter – focusing on individuals or organizations with two or more add-ons, memberships, and certifications for example.
- Layering Filters – collating groups of individuals with differing add-ons (or types), for example, anyone that has a valid Level 1, 2, or 3 qualification.
Understanding what your end goal is with a report will help you decided which route you need to go down when creating it.
A Single Filter:
Below is a step-by-step for using the advanced filter tool to apply a single filter; a great way to extract data from the platform based on an individual add on. This example shows how to filter for all valid members:
- Login and switch into your organization
- Click 'Members'
- Click ‘Advanced Filter’
- Scroll down and click ‘Memberships’ from the options presented
- Select ‘Valid’ in the status box
- Click ‘Apply Filter’ and the members that fit the criteria will be displayed
- Click ‘Add Selection’ to transfer the data to the list panel
Note: At this point, you can remove individual members from the report panel on the right by clicking the cross button.
Cross Filtering:
Cross filtering allows you to combine two or more add-ons, for example finding members that have both a valid membership and a valid coaching qualification. The main point to remember here is that we are looking for members that have both of the filtered selections.
- From your member's dashboard select ‘Advanced Filter’
- Scroll down and click ‘Memberships’ from the options presented
- Select ‘Valid’ in the status box
- Select ‘Coach Certifications’ from the options
- Select ‘Valid’ in the status box
- Click ‘Apply Filter’ and the members that fit both criteria will be displayed
- Click ‘Add Selection’ to transfer the data to the list panel
Note: You don’t always need to search using the ‘Valid’ status option. You can use the filters to find someone that might have one of two valid items e.g. Valid coaches that don’t hold a valid background screen.
Layering Filters:
With a layered filter, we are looking for groups of members to include in a single report. In this example, we are looking for anyone with valid level 1, 2 or 3 coach certifications. Layering is different from a cross filter as we are looking for members who have any one of these items, not all of them together.
- From your members' dashboard select ‘Advanced Filter’
- Scroll down and click ‘Coach Certifications’ from the options presented
- Select ‘Valid’ from the ‘Status’ box and also ‘Level 1’ from the ‘Type’ box
- Click ‘Apply Filter’, once the individuals are displayed, click ‘Add Selection’ to transfer to your selection list
- Change the ‘type’ filter you just applied by unchecking ‘Level 1’ and replace it with ‘Level 2’
- Click ‘Apply Filter’ and then ‘Add Selection’ to transfer to your selection list
- Repeat step four, changing ‘Level 2’ to ‘Level 3’
- Click ‘Apply Filter’ and then ‘Add Selection’ to transfer it to your list panel
Following the instructions provided above for any of the filter options will get you to the point where you are ready to create your reports.
Can I repeat my report?
Once created, you can 'Save' the report by clicking 'Download Report' and selecting yes to save. This will allow you to quickly download previously created reports, without re-selecting the filters. See: How to save a report from advanced filters
