A bulk uploading is a way of adding multiple records at the same time through the use of a spreadsheet template. The bulk upload can be used within any add on so long as the add on is addable by that particular contact type (e.g. athlete/ club).
You can use the bulk upload when:
-
You are importing data from another system
-
You wish to issue a large number of 'add ons' simultaneously (either as the NGB or as another organization)
Note: Bulk upload is enabled for some domains only. If you think that your domain/ organization should have the ability to bulk upload, please reach out to your NGB who can then reach out to Sport:80.
How does the bulk upload work?
Each add on with a bulk upload option will have a downloadable template which should be fully completed. Once uploaded, the imported spreadsheet will then assign the selected add on with all the complete information to the profiles, identifying them through their e-mail address, name, date of birth and gender to avoid duplications.
See Completing a Bulk Upload for a step by step for bulk uploads
What do the options on the form mean?
Each of the options has explanations that you must familiarise yourself with. These are detailed on the pop-up depending on the domain.
The 'Override Cost' option is only available to NGB admins. It essentially allows the NGBs to add the new add ons to profiles and bypass the requirement for payment. This is not available to any other organization type.
Note: A non-NGB user is only presented with the option to create accounts. They cannot enforce other overrides or mark as zero cost.
Do I need to approve items added by bulk upload?
The same approval permissions apply, meaning that, for example, if approval is not required if added by admin, the items added by bulk upload will not require approving if performed by the NGB.
However, if a club WITHOUT approval rights performs a bulk upload, those items will go to ‘Pending Approval’ and will require approval in the usual way by a NGB admin with the required permissions.
Can I bulk upload something with a dependency?
Yes, but the item will follow the usual dependency requirements, meaning it will go to an 'Action Required' state until all dependencies are met.
The exception is when the requirements are only on addition, in which case the item CAN be added and WILL NOT go to 'Action Required'.
