A good example of validating information is when a valid membership is required to compete at a particular event. As some events go on sale months in advance there is the possibility that an individual’s membership may expire prior to the event taking place. They might also be outside of a renewal window which adds extra complexity as they wouldn’t be able to extend their membership.
Note: This same logic can be applied to any add-ons or information stored against an individual’s profile on the Platform. This allows your organization to validate someone’s age, gender, or level of competency to determine whether they are eligible to enter a particular type of event.
The Platform implements a number of processes to safeguard the NGB and event organizer when someone's add-on (e.g. membership) is due to expire before the event takes place. These processes include:
-
Only permitting people that meet the requirements at the point of entry to checkout and pay for their registration
-
Those who don’t meet the requirements at the date of the event are flagged in the entry list section of the event admin panel - this will allow the event organizer to quickly determine who is ineligible
-
The entrants who are ineligible will receive automated emails in the run-up to the event informing them that they won’t be able to compete if they don’t take appropriate action (e.g. renewing their membership)
-
Similarly, the event organizer will be sent details of the entrants who have been flagged as ineligible one day before the event
There are some useful tools in the event admin panel that enable the event organizer to track the eligibility of all the entrants. Organizers also have access to an email function so they can send specific reminders to individuals or a group of entrants. If an entrant takes the appropriate action, the status of their entry will also update automatically in the event admin panel for the event organizer to see.
These dependencies are in place to ensure that your registration rules are enforced. They not only protect everyone involved but also act as a driver for members to keep their information up to date.
Note: Entry options (such as 'Under 18 Women's') will only appear for those that are eligible for that category based on the rules set within the event admin panel by the event organizer.
